Introducing Organizations in Docupilot – A Better Way to Work Together

We’re excited to share an important update that makes it easier to manage your teams and workspaces in Docupilot.

This update will start on Friday, August 22 at 11:30 PM PST and will be rolled out to all users by Sunday, August 24 at 2:00 AM PST

TL;DR

After this update:

  1. All your workspaces will be grouped into organizations.
  2. You’ll still have access to everything — with all data intact.
  3. You will be logged out. Re-login using either:

No downtime expected except with respect to core functionality. Some of your document generation API requests may be delayed or rejected (for a few seconds) when your workspaces are being migrated.

What’s New?

We’ve added a new Organization layer on top of your existing setup. Now:

  • Every user from your company signs up under one organization.
  • You can invite team members to your Org.
  • Create and manage multiple workspaces inside that Org.

Why This Change?

  • Cleaner workspace and team structure.
  • Easier management of users, workspaces, and billing.
  • Lays the foundation for features like SSO, Org-wide settings, custom branding and more.

What’s Changed?

For new users:

  • Before this update: Sign up Create Workspace Start using Docupilot
  • After this update: Sign up Create Org Create Workspace within that Org Start using Docupilot

For existing users:

  • Multiple workspaces have been grouped into a single organization based on ownership.
  • All workspaces owned by the same user are now under one organization.
  • If you’re the owner of at least one workspace and have logged in recently, you may have been prompted to reserve a URL like [my-org].docupilot.app.
  • If you did not reserve your URL, one will be auto-assigned for your organization.
  • If you don’t remember your URL or did not reserve one:
    1. Go to the regular login page: Docupilot | Login to your account
    2. Enter your email, enter the OTP that will be sent to your email — you’ll see the organizations you have access to.
    3. Choose the organization you want and log in to and follow on-screen instructions to log in to that organization.

Here’s a scenario of how this change affects ones access to Docupilot.

Say Ana :woman_tipping_hand:t2: is part of 3 workspaces:

  • Alpha (owned by Ana :woman_tipping_hand:t2:)
  • Xeta (owned by Ana :woman_tipping_hand:t2:)
  • Gamma (owned by Charlie :man_raising_hand:t2:)

After this update, 2 organizations will be created

  1. Charlie’s :man_raising_hand:t2: Organization

    • Owner: Charlie :man_raising_hand:t2:
    • Members: Ana :woman_tipping_hand:t2:, plus any other Gamma users
    • Workspaces: Gamma
    • login url: https://charlie-chaplin.docupilot.app (assuming that Charlie :man_raising_hand:t2: reserved charlie-chaplin as the subdomain)
  2. Ana’s :woman_tipping_hand:t2: Organization

    • Owner: Ana :woman_tipping_hand:t2:
    • Members: any Alpha/Xeta users
    • Workspaces: Alpha, Xeta
    • Login URL: https://123abc4d.docupilot.app (considering that Ana :woman_tipping_hand:t2: hasn’t reserved her subdomain, a sub-domain was auto-assigned)

Ana :woman_tipping_hand:t2: can:

  • Log in to each org separately:
    • https://charlie-chaplin.docupilot.app
    • https://123abc4d.docupilot.app
  • Or use the regular login page Docupilot | Login to your account to find both org login pages.
